The Opportunity
As Ctrl Alt continues to scale, we are seeking an experienced Office Manager to take end-to-end ownership of the operation and experience of our London office.
You will be responsible for creating a well-run, welcoming and high-performing workplace. This is a hands-on role with responsibility for the suppliers, budgets, systems and standards that support our team, alongside longer-term planning as the business continues to grow.
This role is based full-time in our London office, reporting into the Operations Manager.
What you'll be doing
Take overall ownership of the day-to-day operation and experience of our London office.
Set and maintain clear workplace standards, processes and service levels.
Manage relationships with building management, landlords and external suppliers, ensuring services are reliable, cost-effective and delivered to a high standard.
Own office supplier contracts, renewals and service reviews, identifying opportunities to improve quality and control costs.
Manage the office budget, monitor expenditure, process invoices and provide clear reporting on workplace costs.
Oversee health and safety, security, office access and workplace compliance, ensuring all required procedures and records are maintained.
Act as the main point of escalation for office-related issues, taking responsibility for resolving problems quickly and effectively.
Anticipate the changing needs of the London office and develop practical plans to support future growth.
Lead workplace projects and improvements from planning through to delivery.
Own the delivery of company events, team socials and offsites, managing logistics, suppliers and budgets.
Oversee the workplace elements of onboarding, partnering with People and IT to ensure new joiners have the equipment, access and support they need from day one.
Partner with People, IT, Finance and Operations to improve processes across the employee lifecycle.
Create and maintain clear office guidance and documentation so responsibilities and standards are understood.
Build and nurture an inclusive, energising and collaborative office culture.
This role will be a great fit if you:
Have proven experience owning office, workplace or business operations, ideally within a fast-growing company.
Are confident managing suppliers, contracts, budgets and external relationships.
Have experience maintaining high standards across facilities, health and safety, security and office access.
Are highly organised and able to manage several priorities, projects and deadlines at once.
Take ownership of problems and follow them through to a clear resolution.
Are proactive and solutions-focused, with the judgement to anticipate what the office and team will need.
Have excellent written and verbal communication skills and are comfortable working with people at every level of the business.
Can handle sensitive information with discretion and sound judgement.
Stay calm under pressure and adapt quickly when priorities change.
Enjoy being hands-on while also improving the processes and systems behind the work.
